VOLUNTEER FOR DISASTER DAY
Volunteer Roles
Students and community members alike have volunteered to serve as patients for Disaster Day. Volunteers are assigned illnesses and injuries and receive training about how to portray their ailments on event day. Makeup illustrating their illness or injury, also known as moulage, is applied to volunteers to make the cases seem more realistic.
Not only do volunteers act as patients, they observe student/practitioner behavior and offer feedback so that students may provide better collaborative care in the future.
Student Volunteer Registration
Disaster Day will take place on Friday, February 14, 2020, from 8AM to 5PM. Please complete the information below.
Note: Student roles include patient, observer, provider, and unified command (disaster management). Students will be given specific schedules and roles closer to the time of the event. Student roles are assigned based on previous experience with Disaster Day and student level, with more senior students playing the role of provider and/or unified command. However, we take student preferences into consideration when making assignments. Health Science Center students who participate will have an excused absence.
Registration will be opened soon to sign up as a provider, patient and unified command position.

STUDENT PLANNING COMMITTEE DESCRIPTIONS
The Disaster Day Student Planning Committee (SPC) consists of approximately 40 student leaders from the Colleges of Medicine, Nursing, Pharmacy, and the School of Public Health (the College of Dentistry has opted out given geographic location), and Veterinary Medicine.
Composition of the SPC approximates the FEMA model for incident command, and is divided into four organizational areas:
- Planning
- Finance and administration
- External relations
- Operations
Each of these areas consists of interprofessional subcommittees as follows:
- Administration & Finance
- Case Development
- Event Day Logistics
- Public Relations/Media
- Simulation Evaluation
- Supplies
- Victim & Responder Recruitment & Training
Responsibilities for each subcommittee are described below.
PLANNING
Case Development
- Drafts cases for current event
- Submits final drafts to faculty advisors and HSC Disaster Day Steering Committee
- Makes case cards for event day
- Coordinates with Volunteer Committee to distribute cases to volunteers
- Case Development Committee Chair works with the Training Director to ensure all volunteers are trained for their respective roles
Supplies Committee
- Inventories existing supplies
- Works with the Case Development & Training Director to identify and secure all necessary supplies (non-moulage)
- Organizes and executes transport, tracking, and return of supplies
- Coordinates event day Central Supply
Victim & Responder Recruitment & Training Committee
- Selects deadline for case development completion and works with Case Development Committee Chair
- Works with the Case Development Committee & Training Director to ensure victims for each location at TEEX is covered
- Organizes and executes training of all student volunteers
- Coordinates with Event Day Logistics Committee and Supplies Committee to ensure any items needed can be ordered in time
ADMINISTRATION & FINANCE
Administration Committee
- Works with Planning Director and Training Director to schedule SPC meetings
- Drafts action items from SPC meetings and forwards to Planning Director and Training Director for review and dissemination
- Designs, orders, and disseminates Disaster Day T-Shirts
- Shares t-shirt design with Public Relations/Media Committee
- Gets approval from faculty committee advisors and HSC Disaster Day Steering Committee
- Submits design to IPER office for IPER to submit official request to HSC MARCOM as well as the IPER office will order shirts from C.C. Creations
- Organizes shirt dissemination for SPC prior to event day
- Organizes volunteers shirt orders and dissemination on event day
- Organizes necessary food/beverage related to Disaster Day
- Contacts restaurants for donation food orders
- Secures proper permission for giving request and thank you letters to restaurants
- Organizes serving items and trash pick up
- Organizes pick up and dissemination of food donations
- Ensures cleanup
- Other tasks identified during the course of planning
Finance Committee
- Prepares budget for current event
- Determines fundraising needs
- Identifies, contacts, and thanks potential donors
- Secures fundraising goal
- Manages expenditures for all Disaster Day purchasing
- Provides regular financial reports to faculty advisors and HSC Disaster Day Steering Committee
EXTERNAL RELATIONS
Public Relations/Media Committee
- Works with Planning Director, Training Director, IPER office, Steering Committee, and MARCOM to ensure all procedures are followed
- Ensures broad and appropriate dissemination of event information to local, state, and national stakeholders
- Liaisons with the HSC Office of Governmental & Public Affairs to disseminate information
- Develops event messaging and trains event participants in appropriate chain-of-command for Public Relations
- Orchestrates VIP attendance for event day
Event Day Logistics
Volunteers Committee
- Works with IPER office to recruit faculty to participate in event day as simulation evaluation observers
- Works with IPER office to recruit student/community volunteers for coverage of patient roles
- Coordinates with Case Development Committee & Training Director to distribute cases to volunteers
- Facilitates check-in of volunteers on event day
- Volunteer Committee Chair works with Case Development Committee & Training Director to plan and execute volunteer training with assistance from respective committee members
Moulage Committee
- Works with a moulage expert(s) and liaisons with Case Development Committee & Training Director to identify and secure requisitemoulage-related supplies (e.g tarps, makeup, soot, ripped clothes, etc.)
- Organizes moulage stations on event day and ensures efficient flow of volunteers
- Applies moulage to volunteers on event day
- Ensures moulage clean up on event day
STUDENT PLANNING COMMITTEE POSITIONS
All members of the Disaster Day Student Planning Committee (SPC) engage in event planning and attend the event.
SPC positions include:
- Planning Director
- Training Director
- Incident Commander (Event Day)

Responsibilities for each SPC position are indicated below.
Planning Director
- Maintains good academic standing
- Reports to faculty advisors and HSC Disaster Day Steering Committee
- Attends 90% of Student Planning Committee (SPC) meetings
- Acts as chair of the SPC
- Serves as the “face” of Disaster Day and is available to act in public relations role during planning stage and on event day
- Ensures a culture of interprofessionalism and respect among SPC, subcommittees, and other event participants
- Leads all efforts to plan and implement Disaster Day
- Works to proactively ameliorate conflict and directly addresses it as it arises
- Ensures planning deadlines are met at all levels
- Ensures patient and population health is considered in all planning efforts at all levels
- Ensures interprofessional perspectives are considered in all planning efforts at all levels
- Convenes regular meetings with Training Director
- Reviews and disseminates Planning Director/Training Director meeting action items
- Meets with chairs/committees as necessary
- Contributes to the execution of committee action items
- Responsible for duties, deadlines, and conduct of those under Planning Director leadership
- Debriefs after event with potential future Planning Director, Training Director, and Incident Commander
Training Director
- Maintains good academic standing
- Reports to Planning Director, faculty advisors, and HSC Disaster Day Steering Committee
- Attends 90% of SPC meetings
- Attends 90% of meetings with Planning Director
- Is assigned to one of the organizational areas: planning, finance &administration, external relations, or event day logistics
- Oversees two area-related committees
- Meets with Planning Director
- Rotates responsibility for Planning Director/Training Director meeting scheduling and recording of action items sent to Planning Director for review and dissemination
- Meets with related committee chairs regularly and/or attends committee meetings
- Works to proactively ameliorate conflict and directly addresses it as it arises
- Contributes to the execution of committee action items
- Considers patient and population health in planning efforts
- Incorporates interprofessional perspectives into all planning efforts
- Ensures a culture of interprofessionalism and respect among committees in organizational area and on event day
- Responsible for duties, deadlines, and conduct of those under Training Director leadership
COMMITTEE CHAIR (N=8)
- Maintains good academic standing
- Reports to area Planning Director and Training Director
- Attends 90% of SPC meetings
- Attends all committee meetings
- Serves as chair for assigned committee
- Works to proactively ameliorate conflict and directly addresses it as it arises
- Oversees committee implementation plan
- Equitably delegates tasks with consideration to committee members’ time and talents
- Finalizes and disseminates action items from committee meetings and ensures follow through
- Ensures planning deadlines are met
- Liaises with other committee chairs as appropriate
- Considers patient and population health in planning efforts
Incorporates interprofessional perspectives into all planning efforts - Establishes a culture of interprofessionalism and respect among committee participants and on event day
- Responsible for duties, deadlines, and conduct of those under chair leadership
